The best times of the year to hold seminars

Trainings and seminars are very popular in corporate circles, as these serve as opportunities to enrich the knowledge and skills of targeted participants. However, it’s not always easy to plan a training or seminar, especially when you’re the only one in charge of the organizing aspect. You have to strategize the utilization of funds allotted for the seminar, the guests to be invited, and the facilitators and speakers for the activity. And yes, one of your biggest considerations when planning a seminar is the venue in which it will be held.

Choosing a venue for your seminar goes hand-in-hand with picking the date of the event. By planning ahead, you may not only get the venue you want for your training or seminar, but also score on a good deal on the venue rates. Here are some tricks that may be of help:

  1. Never try to host a seminar in December.

December is probably the busiest month of the event calendar mainly because all sorts of celebrations are held during this period. You may not be able to book a venue for your training workshop during this month because most function rooms and other spaces are already reserved for Christmas parties, end-of-year gatherings, exit conferences, weddings, and even birthdays.

Also most of your target participants are already busy with their own holiday affairs, thus you may not be able to nail your desired headcount if you conduct a seminar in December.

  1. Summer months are ideal for skill-based trainings.

If the seminar workshop that you are organizing requires hands-on work of the participants, then you may want to do it during the summer months, between April and May. The summer months are more relaxed, and people usually want to make their days productive by attending learning opportunities should they not get to travel or go on a beach vacation.

Hosting a learning activity during the summer is also best done in a relaxing venue. There are venue rentals in Singapore that offer a good view of the cityscape, and this can be inspiring for the guests especially when the subjects they are studying in the workshop or seminar involve arts and crafts.

  1. Technical trainings may be best held during September and October.

The months of September and October are often regarded to be the best months for technical trainings, since various celebrations on the fields of science, technology, and finance are held during these times of the year. If your seminars involve any of these niches, then you may as well set them during these months to make your activities in line with the themes mentioned. It would also be easier for you to invite guest speakers in your seminars because these experts would be taking the opportunity to spread the word about the advocacies they are celebrating during those months.

  1. Venue reservations are usually more relaxed from July to September.

If you are planning to hold a series of seminars this year, then you may want to schedule them between the months of July and September. This is because for most establishments that offer venue rental in Singapore, these are the months that are not usually fully-booked, compared to November and December and January to March. You may be able to get discounted rates on venue rentals, or not be charged the same rate during the peak months.

  1. The best day of the week.

The best day of the week to hold a seminar or workshop depends mainly on the length of the training. If you are going to hold a seminar that will run for three days, then it is best to start it on a Wednesday, so that by Friday the event will be used to close the entire week. This will also give the participants the time to breathe and digest whatever they learned during the three days they’ve spent.

Meanwhile, if you are organizing a seminar that runs only for one day, then you may want to hold it on a Tuesday or Wednesday, so that it will serve as the highlight of the week for your participants. They will also have the opportunity to share their lessons learned to their colleagues during the next two days of the workweek.
